You can use chat rooms to join or read discussions on the room's theme with other chat room members. For example, you may create a public-themed chat room such as "NC State IT Community,” where you can join this room to discuss IT-related items about campus and view all previous messages sent to the room since its creation.

You can browse all rooms by viewing a list of room names, joining open rooms, being added to a room by someone or a moderator of a room, being a member of multiple rooms, and filtering room content by keywords or senders.

Create a Persistent Chat Room

  1. Click the Chat Room icon in the Jabber client window, and select the All Rooms tab.
  2. Click the New Room button at the bottom of the client window.
  3. Fill out the information for your new chat room on the New Room screen.

    Note: There are two types of rooms - Public and Restricted. If you want your chat room to be private between you and those you wish to add to the room, you must click the Restricted radio button; otherwise, it will be Public, and any Cisco Jabber user can join that particular chat room.

  4. Check the Add to My Room box.
  5. (Optional) Add any Moderators to the room if you so choose.

    Note: Moderators can change the subject of a room and edit members (which includes adding, removing, and banning them).

  6. (Optional) To add a password to the chat room, click the Password button.

    Note: Members of the chat room must enter this password every time they enter the room.

  7. When complete, click the Create button.
  8. Add members to the room by clicking the Add Now button, or you can add members later.
  9. Enter the name of each member you want to add to the room and press Enter; repeat for each member. When you are done adding members to the room, click Save.
  10. You will immediately be placed in the chat room.

    Note: If you need to edit the chat room to add new members or moderators or delete the room, click the Edit Room icon in the upper right area of the chat room window.

Join a Chat Room

Joining a chat room allows you to participate in the conversation or read what is being said, where multiple chat room members share information in a common chat window. All the rooms you are a member of are listed in your My Rooms tab. If an administrator of the chat room adds you to a chat room, it is displayed immediately in your My Rooms tab.

  1. Click the Chat Room icon in the Jabber client window, and select the All Rooms tab.
  2. Browse for a room (listed alphabetically).

    Note: If a room is restricted to specific members, you cannot join the room unless the administrator of that specific room adds you. For the restricted rooms that you are not a member of, you see a lock icon instead of the Join button.
  3. Click Join beside the room that you want to join. The rooms where you are already a member have a checkmark beside them.

Participate in a Chat Room

  1. After joining a chat room, you can participate and view the discussion history.
  2. Select the Chat Rooms icon on the Jabber client window, and select My Rooms to view the rooms where you are a member.
  3. Double-click on the room that you want to enter.
  4. View the current participant list on the right side of the chat window. You can show or hide the participant list.
  5. Read the discussion and enter your chat messages.

    Note: The history of the conversation is persistent. When you exit the chat room and close the client, you can return to the conversation in that room. When you return to the chat room, you can view the messages that other members sent while you were not logged in.
  6. From the chat room, select Show More to view older messages.

Search Chat Rooms

  1. You can search chat rooms by keywords and further refine your keyword search with criteria such as participants, room name, and date range.

    Note: You must be a member of the chat rooms for your search to be completed.

  2. Select the Chat Rooms icon on the Jabber client window, then select the Filters tab.
  3. Enter search criteria in a search box, just like you search for contacts in your Cisco Jabber hub window. The following restrictions apply to chat room searches:
    1. The search includes the period from when you joined a chat room until now.
    2. The search does not work for special characters unless you add letters to the search string as well.
    3. Double-click on a result to open the persistent chat room where the search got a match.

Filter Chat Rooms

You can create notifications in chat rooms that tell you whenever a keyword is used, a certain user writes a comment, or your username is mentioned. These notifications are based on filters. Filters search chat rooms using the criteria that you define for the search. So, after you create a filter, you get notified about any conversations in the chat rooms that match your filter criteria. Next, you see a red notification on the Jabber client window, which displays the number of new matches found for your filter. Filters can include mentions when your username is used in a chat room or custom filters that search by keyword or sender.

  1. Select the Chat Rooms icon on the Jabber client window, select Filters, and select Create Filter.
  2. Give the filter a title and then define the filter criteria.

    Note: You can filter chat rooms using up to three keywords or by username. You must define at least one keyword or the sender's username, but you can specify the sender and up to three keywords.
  3. Select Create.

    Note: Results are listed on the Filter tab, with a number to indicate how many results were found that you have not read. Results are updated automatically each time a new match for your filter is made. When you have matches on your filter, you can click on the filter match to open the chat history in the rooms where the matches were found.

Share your Desktop while in a Persistent Chat

Share your screen with other participants in a persistent chat room

  1. When in a persistent chat room, share your desktop by clicking the More icon (3 dots) icon and clicking Share Screen.

    Note: You must begin with an IM, and the room must have at least one member.

  2. You will be asked which screen you would like to share if you have multiple screens. Click the screen and then click Share.
  3. Once you share your screen, participants will view the remote desktop.

    Note: Participants can also request remote control of your PC or share their screen via the icons in the upper right corner of the window on mouseover. If a participant requests to remote control your PC, you will receive a notification request.

Mention Users in Chat Rooms

When other users mention your username, it creates a notification in the My Mentions section of your chat room filters. Thus, mentioning other users notifies them that they were mentioned in a chat room.

Note: Users only receive a notification if the chat room is public and the user is an NC State Jabber user or they are a member of the chat room.

  1. To create a mention for another user, in the text box of the chat window in a chat room, type the @ symbol followed by the person's user name to search the directory for the user. The client displays user names that match what you are typing.
  2. Select the username that you want to mention. You can mention a username that does not have a Jabber ID associated with it. You can use the @ symbol as part of your text entry; use the Esc key to exit the mention field.
  3. After you send the message, a notification is created for the mentioned user in their My mentions list, linking to the conversation in the room where the mention was made.
