Overriding the Seat Count

New Development (Released March 2023) - Available to Course Admins

Course Administrators may register a participant from the waitlist, admin register, or bulk register a participant(s) when the activity is full thereby overriding the seat count. This allows the number of participants in the instance to exceed the maximum seat count without impacting the maximum seat count.

Override using “Register from Waitlist”

If your instance is full but has a waitlist, as a Course Admin, you will be able to select people on the Waitlist and use “Register From Waitlist” to override the seat count. With that option, you will be prompted to confirm that you want to ignore the seat count to register the people selected, resulting in a negative number of seats being available. Following the registration, the instance seat count can be updated to match the number of people enrolled. This option will allow admins to register people from the waitlist without having to increase the seat count, which can lead to issues if the Waitlist is Automated.

Override using “Register” option on the Roster

If your instance is full, but active, you will see that reflected while editing an Instance from the Roster tab, as pictured below. It should be noted the option to initiate the registration now includes the term “Instance Full”:

Once added to the cart, you will get a popup alerting you that you will be bypassing the seat count:

In your cart, you will see the option to “Add to Waitlist” as well as the option to select a participant. If you select ‘Add to Waitlist’ the system will attempt to add you to the waitlist. If you are not qualified, you will be brought to a page where you can select who to add to the waitlist.

If you do not want to use the waitlist, continue with the registration by selecting the participant and continuing through checkout as usual.

Override using Bulk Registration

If your instance is full, but active, you will see that reflected while editing an Instance from the Bulk Registration tab, as pictured below. It should be noted the option to initiate the upload now includes the term “Instance Full”:

Select the “Yes” option under Bypass Seat Validation to override the seat count. All registrants will be registered from the bulk registration file.

The registrations will be indicated as having a successful registration in the excel import messages section of the bulk registrations page.

If the “No” option is instead selected, registrants will only be registered until the max seat count is reached. The remaining registrants in the bulk registration file will not be registered. This is indicated with the “no seats left” message in the excel import messages section of the bulk registrations page.
