We have recently had calls coming in from retirees. Most of the calls were for items that we commonly deal with, however, some were different. When a person retires, the university services stop at different points depending on whether the retiree intends to maintain their NC State email address.

Retirees not retaining their email address will lose access in 21 days to the Google services. All reassigning of data in the Google Drive space needs to be done before the last day of employment. Campus notes that access to employee data can not be processed after an employee leaves. Campus has a checklist that covers what actions need to be taken. The checklist can be found online .

Retirees who are keeping their email addresses will have access to Google services during retirement. There is a period of time when all access will be lost as the employment status is changed to reflect the new situation. We recommend that folks using the Google Calendar system to keep track of personal appointments print out the next two months of the calendar so they will have the dates of appointments during the time the access is lost.

There are stipulations to keeping the email address:

  • Complete data security training annually
  • Acknowledge the Information Security & Privacy Acknowledgement form via the MyPack Portal annually
  • Remember that use of the email account remains subject to discovery and/or open records requests.

Failure to comply with any of these stipulations will result in loss of the account. Temporary loss of access can happen if something is done that triggers the account to have a Google status of “suspended by admin” put on it. Suspensions require that the account holder call the main campus helpdesk to sort out the issue that triggered the suspension.

There are other services that employees have access to before retirement but lose after. The thing is that access to these services will terminate at different points. Once a person leaves, they should not depend on having continuing access to services. Campus does not have a list of when access will stop for every service but access will be cut off. Remind people retiring that if they have events scheduled beyond their retirement the events need to be removed or transferred in some way to current employees.
